Bellefontaine City Schools has an opening for athletic director administrative assistant.

Athletic Director Administrative Asst. Duties
I. Accounting
a. In charge of all accounting (requisitions, PO’s, posting receipts and banking) for all BHS/BMS athletic events and BHS activities accounts.
b. Prepare concession boxes (cash) for events and get proceeds to the Boosters
II. Budget Spreadsheets
a. Assist AD with accounting spreadsheets for deposits/receipts
III. Athletic Dept. Website Upkeep
a. Post daily results
b. Upload pictures (when provided)
c. Input team rosters/statistics
d. Work with the online registration site
IV. Awards Night Prep
a. Keep awards inventory
b. Order awards
c. Create certificates
d. Organize awards by team
e. Prepare Awards Night Programs
f. Keeping record of students’ awards earned
V. Organizing Senior Parent Nights
a. Preparing notifications
b. Preparing order/announcements for PA
VI. Weekly Schedule Confirmation
a. Contact opponent AD’s a week ahead to confirm events
b. Contact officials for home events to confirm
VII. Event Payment Paperwork
a. Prepare pay vouchers for home event workers
b. Prepare all items needed for event workers for home events
c. Confirm workers weekly
d. Ensure payment for events our teams attend
VIII. Pre-Participation Physicals
a. Accounting for all physicals (enter expiration dates into Final Forms)
b. Preparing spreadsheets to keep track of students on teams, physicals turned in, registrations complete, etc.
IX. Video Board Layout
a. Working with the AD to keep our video board fresh and interesting. This will involve a little training, but info will be given to you…..you just need to input and format the files.
X. Team Rosters
a. Preparing team rosters at the start of each season
b. Maintaining them for accuracy throughout the season
c. Preparing postseason eligibility certificates and other required items
XI. Athletic Department/Club Publications
a. Newsletters
b. Sports Specific Items (per coaches request)
c. Publications for club/student activity organizations
XII. Drug Screens
a. Working with Corporate Health in maintaining an accurate active BHS roster
b. Getting students from class when they are chosen for screening
XIII. Any other administrative assistant duties requested by the Athletic Director.
After hours work required 3-4 times/year for seasonal parent meetings and mass physicals (hours are comp’d and may be used to shorten other work days)
